Privacy Policy

1.0 Introduction

This document details what information we may hold about you, why we hold it, and how we may use it. If you represent a charity, you may also wish to refer to our charity privacy policy.

This policy applies to Give as you Live Online (www.giveasyoulive.com). If you use other products and services from Give as you Live Limited, additional policies may apply - you should check the relevant website(s) for those additional policies.

2.0 What information we store about you

When you sign up to Give as you Live, the only personal information we require are your name and email address. You also choose a password and select a charity to support.

If you sign-up using Facebook, we will store a link to your Facebook account and require you to provide the requested permissions (access to your full name and email address). If you deny or retract these permissions then you will be unable to access your account.

Within your account, you may optionally provide more personal information such as your date of birth and gender. You can also provide information such as your insurance renewal dates and select preferences such as your favourite retailers. You may amend or remove this information at any time via your account. When you provide such information, we will process it with your consent.

We store information regarding your activity on Give as you Live, including search terms, visits to retailer and shopping websites, tracked purchases and donations, and technical information such as your browser and IP address. We may use external tools, such as Google Analytics, to collect such information. Shopping data is provided to us by our affiliated retailers - often via an intermediary such as technology providers, marketing agencies or affiliate networks. Information such as this is processed with your consent. You may withdraw your consent at any time. However, if you do, you may experience certain functionality restrictions.

If you use our comparison tools, for instance to compare insurance, energy or broadband, then these tools may ask for personal information and also sensitive personal information (for example relating to race or ethnic origin, physical or mental health, or criminal offences) for the purpose of returning results (e.g. quotes or purchase options). The information you enter may be stored by us as well as by the technology providers and the retailers/providers included in the results.

If you enter a competition we run, then we may store information entered on the competition entry form. This is usually just an email address and name. The information you enter may be stored by us as well as by the technology providers and the retailers/providers included in the results.

3.0 How we may contact you

By signing up to Give as you Live, you agree to our terms and conditions and may give us permission to send you promotional emails relating to Give as you Live and other products and services we may offer - unless you opt out at the point of sign-up or at a later date.

Examples of such promotional emails include shopping offers from our retailers, or the release of a new feature/product, or the launch of a competition.

You can opt out of our promotional emails using the unsubscribe link that is included in all such emails, or via your Give as you Live account.

Your opt-out status does not affect the sending of transactional emails - for example emails confirmation a donation or emails relating to accessing your account.

If you contact us, for instance via phone or email, you give us permission to contact you relating to your query. Doing so will not result in your details being added to any promotional email lists.

If you are not signed up to Give as you Live but are entering a competition, then you will agree to our competition terms and conditions and may give us permission to send you promotional emails relating to Give as you Live and other products and services we may offer - unless you opt out at the point of entry or at a later date.

If you have provided us with your contact information in person, for example at an industry event, then we may be able to contact you including sending a follow-up email or promotional emails. This will depend on the circumstances in which you provided your information.

4.0 How we use your information

The personal information we store may be used to tailor our service to you. Examples of this include sending you a promotional email based on which retailers you have shopped at using Give as you Live, or sending you a reminder about an upcoming insurance renewal date. On our website, it may involve us highlighting particular retailers based on your history or demographic data.

We may also use your information - including personal, technical and usage data - for internal purposes such as statistical analysis. This is so that we can understand how our products and services are being used and to aid the decisions we make.

5.0 How data may be shared

We may publicly display basic personal information - for example in the form of a "leader board" showing your name and amount raised. You have the option within your account to change your publically-displayed name or to change it to 'Anonymous'.

We may publicly display anonymous shopping data - for example a list of recent donations for a charity ("£2 raised at John Lewis").

If you signed up to Give as you Live via a referral link, the individual whose referral link you used may be able to see basic information about you within their account. This is so that they can see who they have referred and if that referral qualifies them for a reward (as we may reward individuals for referring new users to us).

You can decide if your personal information is shared with your supported charity. This can be done at the point of sign-up or later via your account. The charity may therefore contact you and you will be subject to their own privacy policy.

Please note that if you change your charity, your information will still be accessible to your previously supported charities. You can withdraw you consent for Give as you Live to process your personal data at any time, but you will need to separately ask the charity about your preferences and how to change them. If you need assistance, please get in touch.

Shopping and donation data may also be accessible to charities, however this will be in an anonymised and aggregated form, and is therefore unaffected by your choice of consent.

We do not share your personal details with our retailers except where necessary to provide our service to you. Examples of where we may do this are provided below.

  1. If you use our comparison tools, the information you enter will be sent to the technology provider for the purposes of giving you results (e.g. a quote or purchase options). In order for the technology provider to return these results, your information may be processed by the retailers involved - again for the purpose of giving you results. The technology provider may provide us with the information you entered when using the tool.
  2. If you make a claim for a missing, incorrect or declined donation, or having contacted us with a query regarding a donation/purchase, you agree that we may share information relating to the purchase with the retailer concerned. This is for the investigation of the claim/query and the information is used for no other purposes.
  3. You have entered a competition and have explicitly opted in to receive communications from the participating retailers. Only your name and email address are shared.
  4. The retailer has requested information for the purposes of fraud prevention or for legal reasons.

As we often work with retailers via third parties (such as technology providers, marketing agencies and affiliate networks), "retailers" in the above examples can also include such organisations working on the retailers' behalf - but only for the prescribed purposes.

When you use Give as you Live to visit a retailer, you are taken to their website where their own terms and conditions, privacy policies, and cookie policies will apply. This will include tracking your activity and they may use a third party (such as technology providers, marketing agencies and affiliate networks - including but not limited to Rakuten LinkShare) to do this. The tracking of your activity is required in order for the retailer, and any third parties, to report sales to us that may be eligible for a donation.

You have the option to link your account to a business. This enables a business to see how much their employees are raising as a whole. If you choose to link your account, then you give permission for your basic personal information (name and email address) to be shared with the business you select. In addition, the business may have access to anonymised and aggregated shopping and donation data.

We may use a variety of tools and services - including, but not limited to, email marketing tools, Facebook advertising tools, and Google advertising/analytical tools - which may involve uploading and processing your data in order to provide a service to us.

Outside of these scenarios, we do not pass your personal data onto any third parties without your consent.

6.0 Cookies

Cookies are small text files placed on your computer by websites. The information cannot be seen by any other websites (so the information is secure) and is used by us to provide features to aid the use of our services.

Cookies need to be enabled in order for you to access your account, whilst the tracking of donations relies upon cookies. Therefore, the intended use of Give as you Live requires cookies to be enabled.

7.0 Security

We endeavour to follow best practices and fulfil all legal obligations with regards to the security of your data and personal information.

In order to access your account with us, you choose a password which is used in combination with your email address to sign in with. It is also your responsibility to keep your password safe. If you use Facebook to log in to your account, the same applies to your Facebook access details.

We cannot take responsibility if you voluntarily or involuntarily enable someone else to access your account and gain access to any personal information stored.

You may change your password at any time via your account.

8.0 Compliance with UK GDPR and other national laws

The Data Protection, Privacy and Electronic Communications Regulation (UK GDPR) and the Data Protection Act (DPA) 2018 apply in the UK and protect personal data. If you reside outside of the UK, we will apply your national laws when processing your data. As a company, we seek to be in compliance with these regulations.

Access to data - you have the right to request a copy of the personal information we hold about you. You may request this by contacting us. We do have the right to charge a fee or refuse unreasonable or excessive requests.

Consent - at the point of sign-up, you can optionally give us consent to communicate with you via email. You can change your decision at any time via your your Give as you Live account. In addition, all promotional emails contain an unsubscribe link. With your option to share your basic personal data with your supported charity, you may grant this consent at the point of sign-up and change your decision later via your account.

"Right to be forgotten" - you have the right to request that we remove any personal information we hold about you. If you wish for us to remove your personal data, please contact us. Please note that this will result in the closure of your account, whilst non-personal information may be retained in an anonymised form. Following your initial request, we will contact you to verify your identify and to establish your wishes regarding any data previously shared with charities, businesses or retailers. Please note that we will be unable to fulfil the request without this verification.

Give as you Live is owned and operated by Give as you Live Limited, a registered company in England & Wales (company number 5181419), with registered offices at 13 The Courtyard, Timothy's Bridge Road, Stratford-upon-Avon, Warwickshire, CV37 9NP, United Kingdom.
